Placement Process

- Completed Service Agreement and Family Application – To activate the search, the Client completes and submits a Service Agreement and Family Application, which provides the Agency with the details of the Client’s unique requirements.
- Initial Consultation – The Agency confirms the receipt of the Family’s Application by phone. Upon the Family’s request, a personal consultation may be arranged to discuss the family’s needs in more detail.
- Presentation of Candidates – The Agency initiates the search and presents profiles of Candidates currently available . For the Clients with special requests, the Agency engages in a customized search if needed. The Client reviews the Candidates profile and makes a selection of those he/she wishes to interview.
- Family Selects Candidates for Interview – After the initial review of the Candidates personal profiles, the Agency assists the Client and arranges the interview/meeting with the selected Candidates.
- Family Interviews Candidate – We suggest the Client calls us following each interview with feedback on each Candidate, so we can tailor our search to further meet your needs.
After the first round of interviewing, the Agency assists the Client in scheduling a trial employment. This is a great opportunity for both parties to determine if the Family and the Candidate are a perfect match for each other.
The Agency should be notified as soon as the Client is seriously considering to extend the position offer to any of the Candidates so we can let them know about your interest. Until then any Candidates registered with the Agency will be considered available for interviews and placements with other Clients.
For helpful interviewing tips and questions please contact the Agency. - Family Selection and Verbal Employment Offer to Candidate – After a selection of a specific Candidate, the Client notifies the Agency that they would like to extend the position offer to that Candidate.
The Agency assists in final negotiations and filling in the Employment Agreement between the Family and the Candidate selected. - Acceptance of Verbal Offer by Candidate and Payment by Family – The Client submits in full the Agency’s Placement Fee once the Candidate accepts the position offer.
- Background check is Authorized -The Agency authorizes the extensive background check. A private investigation firm specializing in pre-employment screening conducts the search. The records are limited to a 7 year search of criminal county court records, 3 year driving record history and social security verification. Additional screening requested by the Client are a subject to supplemental fees.
- Complete Employment Contract – A detailed and mutually satisfying employment contract clearly specifying terms and conditions is a very important element to achieving a successful and long-term employee-family relationship.Please follow the guidelines below which highlight some of the important issues that should be included in the contract:
- Employment Term - should include beginning date and length of the Agreement (usually 1 year)
- Compensation- include agreed hourly rate, pay dates as well as future salary’s review
- Benefits - benefits package is optional but not required, however when offered by family, makes the job position even more attractive to the employee. A typical benefit package includes the following:
- Paid Time Off: 5 – 10 days paid vacation (typically one week scheduled at family’s discretion and one by employee)
- Reimbursement for mileage : if employee is required to use personal vehicle to transport children or run errands
- Paid Holidays: New Year’s Day, Memorial Day, Independence Day, Labor Day, Thanksgiving and Christmas
- Sick Days: 2-5 days per year
- Weekly schedule – should include working hours and reimbursement for extra and unexpected hours
- Car use policy – specify if vehicle will be provided by Family or if Employee should supply her/his own car
- Emergency Procedures – primary contact and emergency contact list, as well as written consent to authorize childrens medical care (for nannies)
- Job Responsibilities – the family should provide the employee with detailed and clear information and instruction regarding Family’s expectations. Include an itemized and very detailed list outlining all of the primary and additional job responsibilities to help Employee to complete requested tasks as specified in the Agreement
- Termination of Employment – specify the grounds for immediate termination with cause or if the termination not for cause if optional severance will be offered
*The benefit package should be discussed directly between Families and Candidates.

- Candidate Starts Employment – To make the transition smooth and easy for everyone, communicating in a straightforward and direct manner from the very beginning will help to ensure later success for both the Family and Employee.
- Follow-ups – The Agency will place a follow-up call to both the Client and Employee. The continued support is available throughout the placement process as well as before and after placement is completed.
